With the District 5 Calendar, it is possible for all registered users to post their Toastmasters events!

This allows for greater visibility for your club and area contests, open houses, guest speakers, and other special events.

The Process

The process for adding new calendar events is easy. Here are the specifics:

  1. Log in to the District 5 website. There is a login module on almost every page of the site. If you have not yet created a login, click on the "Create an Account" link at the bottom of the login module and complete the Registration Form. Detailed instructions on this process are located HERE.

  2. Click on "Submit an Event" under Calendar. Once you are logged in, you will see a menu item for "Submit an Event" under the "Calendar" top-level menu item. This link is also included in the “Add Site Content” module located on the right side of most site pages.

  3. Check the Venue (location) List. Click on "Select" next to the Venue field to check if your venue (location) is listed. A pop-up window will appear showing the existing venues for District 5 events.


    NOTE: The venues will appear in random order at first, but may be easily alphabetized by clicking on the "Venue" link within the pop-up window.

    If your venue is included in the existing venue list, move on to Step #6.


  4. Add your Venue if necessary by clicking on "Submit new venue." Complete the associated form (you don't need to enter information in every field, but be sure to include the venue address and zip code) and then click on "Save" at the top right. Your new venue will now appear in the venue list.

  5. If you are unsure of the Venue for your event or if one has not yet been assigned, click on “No Venue.” You will be able to go back later and update your event posting to include the location.

  6. Add your Event Title (i.e. “Central Division Fall Contest”) and select the appropriate Venue and Category (i.e. Area Contest, Open House, etc.).

  7. Enter the Date(s) for your event. Click on the calendar icon to the right of the Date field to do this.


    NOTE:
    If it is a one-day event, there is no need to enter anything in the “Enddate” field.


  8. Enter the start time (“Time” field) and end time (“Endtime” field) for your event.


    IMPORTANT - Time Format Caveat:
    All event times need to be entered in 24-hour format (aka "military time") without the a.m. or p.m. As an example, a contest which runs from 6:30 - 8:00 p.m. would be entered with a start time (field is called "time" on the form) of 18:30 and an end time of 20:00. A second example of a morning contest beginning at 9:30 am would be entered with a start time of 09:30.


  9. Event Repetition: If your event will recur on a weekly or monthly basis, you may use this field to note this.

  10. If there is an image associated with your event, upload it from your personal computer via the Image field.


    NOTE ABOUT FLYERS:
    If you have an event flyer which you’d like to post, please save it as an image (.jpg, .gif. or .png) and upload it via the Image field.

    A thumbnail of your image (250 x 250 pixels) will appear with your event listing and users will be able to click on that thumbnail for a larger view (it may be necessary to enlarge the resulting pop-up window to see the full-sized image).


  11. Enter a Description for your event. You may enter up to 1000 characters in this field.

  12. Remember to Save! Once you have finished entering your event information, click "Save" at the top of the form.

  13. Approval Process: The Webmaster will need to approve your new event before it appears on the D5 calendar. This will usually be done on the day of entry but can take up to 2 days. If the event needs to be posted right away, please contact the Webmaster to expedite the process.
